Masters Swimming Ontario

The Committees

The general guidelines for the Committees are :

  1. The Board of Directors shall appoint the Chair of each Committee. The Chair shall not necessarily be a member of the Board.
  2. There shall be a member of the Board on each Committee.
  3. The Chair of each Committee (or designate) shall report at each Board meeting.
  4. Each Committee shall populate itself.
  5. Each Committee shall prepare a budget for inclusion in the annual MSO budget.

The responsibilities of each Committee are :

Annual General Meeting / Marketing Committee :

To organize the AGM for the following year.
To increase the visibility of Masters Swimming across the province.
To negotiate with external organizations to procure sponsorship for MSO events.
To determine the relevant information required to promote Masters Swimming.
To liaise with the media.

Communication Committee :

  1. To maintain the minutes of all MSO meetings.
  2. To maintain registration and information lists of all members.
  3. To maintain historical information, including financial and tax information.
  4. To prepare and publish the MSO Handbook on a 2 year cycle.
  5. To manage all other member and external communication.
Competition Committee :
  1. To sanction Masters Swim Meets in Ontario, including local meets, open water swims, Ontario Championship and national or international competition, if approved by the appropriate body.
  2. To ensure that appropriate safety and health precautions are in effect at swim meets in the province.
  3. To assure that sanctioned swim meets adhere to the MSO Rules.
  4. To maintain the MSO Records.
  5. To prepare the official MSO Top Ten each year in accordance with MSO Rules.
  6. To prepare an additional Top Twenty each year in accordance with MSC Rules.
  7. To evaluate swim meet software for use by our member clubs.
Constitution Committee :
  1. To interpret and update the Constitution of Masters Swimming Ontario.
  2. To prepare and present notices of motion at the Annual General Meeting.
Education Committee :
  1. To accumulate and prepare for dissemination information useful to all Masters Swimmers, including, but not limited to training, fitness, health, physiology and nutrition.
  2. To investigate and promote swim clinics and swim camps as a method of increasing knowledge about swimming technique.
  3. To create and administer a recognition programme for non-competitive swimmers.
Finance Committee :
  1. To track and report all financial information related to MSO.
  2. To prepare an annual budget.
  3. To purchase MSO Championship medals.
  4. To ensure that adequate insurance is in place for our members.
Marketing Committee :
  1. To increase the visibility of Masters Swimming across the province.
  2. To negotiate with external organizations to procure sponsorship for MSO events.
  3. To determine the relevant information required to promote Masters Swimming.
  4. To liaise with the media.
Masters Swimming Canada Committee :
  1. To represent Masters Swimmers in Ontario to MSC.
  2. To report on the activities of the national organization to MSO.
Nominations Committee :
  1. To manage the annual nomination process to ensure that the Board of Directors remains duly and properly constituted at the Annual General Meeting and throughout the year.
  2. To solicit interested parties to replace departing Board members.
  3. To administer the vote, if required, at the AGM.
Officials Committee :
  1. To liaise with the Ontario Swim Officials Association and Swim Ontario to ensure adequate coverage of Masters Swim Meets in the province.
  2. To educate officials about differences between MSO Rules and other rules.
Rules Committee :
  1. To maintain, update and prepare for publication the MSO Rules.
  2. To work with MSC, SNC and FINA to keep rules current and consistent, where possible.
Strategic Planning Committee :
  1. To analyze the needs of Masters Swimmers in Ontario in accordance with our Motto, our Vision and our Mission.
  2. To draft and present a strategic plan, covering 2 swimming seasons, to the membership at the Annual General Meeting each year.
  3. To monitor the progress of the plan, on an on-going basis.
Web Site Committee :
  1. To administer the content of the Web Site.
  2. To set the guidelines under which the Web Site operates.
