• Chair meetings of the Board.
• Liaison with Board members on priorities and agenda for meetings.

• Coordinate, in conjunction with the Board, MSO response to any short term crisis that may arise. Liaison, when required, regarding any federal or provincial government issues affecting MSO, such as legislative or regulatory changes.
• Assist the Board to establish annual and longer term priorities to strengthen and expand Masters swimming as an adult sport in Ontario and Canada.

Treasurer

Cathy MacDonald

• Board member.
• Attend and vote at MSO Board meetings.
• Assist in the approval of meeting agendas and draft minutes.
• Review expense claims and issue cheques as required.
• Reconcile bank account and savings account statements for deposits as recorded by the Registrar and cheques written by the membership.
• Provide financial updates to board members.
• Liaison with accountants to have financial statements reviewed annually.
• Draft yearly budget.

Secretary

Carole Herbert

• Board Member.
• Attend and vote at MSO Board meetings.
• Assist in the approval of meeting agendas and draft minutes.
• Complete the Initial Return/Notice of Change by an Ontario Corporation Form 1 annually or as required by changes to the board membership and submit to the Ministry of Government Services.
• Keep on file hard and/or soft copies of minutes of all board and AGM meetings.
• Keep on file copies of the Current Insurance Certificates.
• Keep on file other documents as requested by the board.

Chair, Competition Workgroup

Sally O’Brien

• Board Member.
• Attend and vote at MSO Board meetings.
• Assist in the approval of meeting agendas and draft minutes.
• Approve meet dates and sanction them in order to oversee the safety and fairness of said meets.
• Record the meets, the numbers of swimmers, swims and number of records achieved.
• Record the key senior officials.
• Follow up on officials’ financial support.

Chair, Communications Workgroup

• Assist in developing better communications with member clubs.
• Develop communications strategy for MSO.
• Provide strategic input and actively participate in organization’s advocacy activities.
• Direct and oversee all internal and external communications, including website content, electronic, traditional and social media and print materials.
• Act as a media spokesperson for MSO, when necessary.
• Work collaboratively with the MSO board in the promotion and protection of its brand and in logo management.
• Contribute to the development of speeches, program announcements, and presentations.

• Promote the health and wellness benefits of adult swimming.
• Encourage the maintenance of fitness and an active lifestyle through swimming.

• Prepare and distribute draft agenda for MSO Board face-to-face and teleconference meetings. Agenda items are determined from items carried forward from previous meeting minutes, as well as requests by Board members.
• Take minutes for all Board meetings including Annual General meeting and send draft to Board members for consideration and approval at the next Board meeting. When minutes have been adopted, send to web master for publication on the MSO website.
• AGM Package – prepare draft agenda and package. Upon approval, send to webmaster for publication on MSO website prior to AGM.
• After AGM, and with approval of Board, send draft minutes to web master for publication on MSO website. These minutes will be approved at the AGM the following year.
