President Chris Smith, acting as chair, called the meeting to order at 1:30 P.M.

MSO is looking for people to serve on the board or committees. People who have expressed at interest are: Jane Dowd, Sue Ferguson, Chris Langille, Carmen Von Richthofen.

Financial Statements

Darlene presented the Income and Expense Report and the Balance Sheet.

GIC

There is $25,000 in the bank account. It was decided to put a major portion into a GIC until the MSC fees are due in October.

1998 Nationals

The National meet was a success, everyone had a good time. MSC set up an information table in the lobby to publicize MSC. Mary Lou gave a great introduction speech at the start of the meet. There were 540 competitors at the meet.

Problems

The meet ran slow. Fridays events ran very late. The signage was not visible to all swimmers. There were problems with the plunger system used for timing and some heats had to be reswum. There were problems with the big display board before the meet but another one was flown in from Montreal in time for the meet.

MSC Meeting

The open meeting on Sunday attracted 20 to 25 people. The main topics were the meet and next years Nationals. It was a very effective session. Concerning next years Nationals 80% favoured the weekend before the long weekend, May 14/17, 1999 in Ottawa.

Age determination Date

Geoff brought up the age determination date which was referred to MSC rules committee. There will not be a vote or any changes made before the year 2000 at the MSC level.

Nationals 1999

Paul Guerard suggested that if the emphasis was placed on the club rather than the individual then more swimmers from Quebec would attend. Quebec swimmers are team oriented and support club scoring. Time will limit the Nationals to 1000 competitors. It will be SCM with two pools. The 800 and 1500 will be run at the beginning and again at the end of the meet. Pat Niblett and Kathleen Milne are on the organizing committee. Twenty sample tee shirts for next years nationals were distributed at 1998 Nationals in Edmonton.

Rule Book

The print ready version is being proof read by the MSC board.

1999 Handbook

The handbook will be ready by January 1999. The publication committee is redesigning the cover and changing the colour of the cover.

Ads for the Handbook

Clubs or individuals are welcome to advertise in the Handbook. Camera ready copy may be sent to Michael Stroud.

Marketing: Roy Smith

Roy Smith is analyzing the feasibility of selling merchandise with the MSO logo. It would be apparel and other merchandise such as coffee cups, key chains etc. USMS sells merchandise through Kastaways, which is the sole retailer for all USMS apparel.

Advertising would be done in the MSO handbook and a web page linked to MSO's. It would be a mail order business. The web page would be limited to 4 or 5 items. Merchandise would be approved by the Board.

Roy Smith applied MSO tattoos for a loonie at the Provincials and was able to donate $80.00 to the Heart and Stroke Foundation.

Proposal : The board requested Roy to submit a formal proposal at the next board meeting.

Marketing: Chris Smith for Ian Christie

Ian Christie is interested in a series of meets and open water swims. It would be a series of meets hosted by different clubs. The main purpose of this proposal is to get more meets on the schedule.

Out-of-Province Swimmers

Sharon received the database but lost her computer the next day so she hasn't been able to review the addresses of the swimmers. She will speak to Lesley about this (Lesley has a computer).

Regional Reps

Wilma Pidhayny (Downtown Toronto) and Michael will begin developing the regional rep procedures in July.

SWIMS Award: Michael Stroud

Kay Easun's award will be given to her directly. The designation of Honourary member is included with receiving the SWIMS Award.

Registering at Meets

A swimmer has suggested that MSO allow swimmers to register with MSO at a swim meet, instead of requiring that the registration be processed before the meet. This had been tried in the past. The board felt that it was too much of an imposition on meet management. Sharon will write to the swimmer to explain the reasoning.

Registration

Clubs: 80, Club Swimmers: 2144, Unattached: 29 for a total of 2173 swimmers. MSO has surpassed previous numbers for total swimmers. Previous highs were 1994: 2154 and 1997: 2137

Michael is no longer working on the volunteer recognition.

Web Site: Chairperson - Michael Stroud

Monica Tory is working on putting the results of questionnaire on the web site. Michael will complete the MSO history for the web site in conjunction with preparing the Handbook. Nancy Irwin had begun this work.

The web master has resigned after completing the work in progress. Chris thanked Michael for all his work stating that Michael has been a rock to the organization.

Georgian Bay requested approval to run their open water swim as a Provincial Championship.

Meet Updates

1000 Islands Y Masters canceled their May meet due to lack of interest.
Clarington, Etobicoke and Thunderbay ThunderBolts ran time trials in May.
Don Clinton has requested sanction for the Nepean Winterlude Meet on February 13, 1999.
Dana Pelham of the Brantford Aquatic Club has expressed interest in running the 1999 Provincials in early May, 1999.

Provincial Meet Report

Charlie Lane has submitted the meet report for the 1998 Provincials. Some of his comments were MSO provide neck ribbons for medals. Survey members at the Provincials and seed by age group.

Records

Christian Berger, MSC Statistician, prefers to process the results of each individual meet throughout the year, instead of waiting until January to merge the provincial top twenties into a national listing. He has begun using the MSO web site to find results from Ontario meets. However, because of the different age determination date, he has been requesting swimmer birthdates from Michael and has now requested a complete birthday listing from the Board. The Board re-iterated the collective desire of the MSO membership that no personal information be forwarded. Michael will stop supplying the birthdates and Chris will write a letter to Christian explaining the decision.

There are a number of unconfirmed records from the Technosport meets. The only records that have been confirmed so far have been swum by TECH swimmers. Michael will write a letter to Duane Jones, Pat Niblett and Dominique Champeau firmly requesting that time cards and/or timing tapes for the other records be forwarded ASAP.

Resignation

Michael is resigning as Statistician effective January 1999. If anyone is interested in taking over the Top Ten and records please contact Michael as soon as possible so that the transition to a new recorder/statistician will go smoothly.

New Business

Confirm AGM after North York Pentathlon

Confirm that North York is running their pentathlon meet and that the meeting room for the AGM is available. Michael will forward the MSO info sheets for Jack Galvin to the board.

1998 Provincial T-Shirt

The Ontario Provincial organizers received a complaint from Whitby Iroquois as their club name was not on the provincials T-shirt. Whitby registered on February 17, 1998, but the listing of club names had been emailed to the printer on January 22 for setting up the graphics for the T-shirt. The meet manager requested this info at the beginning of January.

Resignation

Since Michael has scaled back his involvement, some of the work in progress was distributed to Board members. Cheryl received the fitness folder. Bruce received the meet software evaluation folder. Don received the meet management guide folder.

NTMC Summer Training Camp

North Toronto Masters Swim Club has rented Summerville Pool (outdoor, heated, 49.9 metres) for 1½ Wednesday evenings and Saturday mornings starting June 17 until September 5. Times and fees are available from Doug Vanderby (416) 701-0911 or email 1stresponse@sympatico.ca

Police and Firefighter Games

The 8th Police and Firefighter Games will be held in Stockholm, Sweden July 16-24, 1999.
