ACCEPTANCE OF MINUTES OF March 25, 2001

Corrections to the minutes of March 25, 2001

1. Strategic plan: Ralph was going ahead with the President’s message although he

had only received one committee members goals.

2. Remove the ";" in the line that reads Ralph read a letter.
3. Capitalize Charlie in the second motion under Pat’s resignation.
4. Put Geoff Camp’s full name as accepted.
5. Constitution: lower case inclusion .
6. Shall not shall.
7. Insurance: capitalize The in the first sentence and capitalize It in the second sentence.
8. Marketing: Should be Hall of Fame.
9. Registrar Report should read numbers.
10. Webpage: The sentence on adobe should state that printable PDF forms and records are now on the web rather than
that Adobe is in working stage which is kind of vague.
11. Meet coordinator: remove that EOMAC meet cancelled.
12. Next meeting: Lesley’s home.

COMMITTEE REPORTS

CONSITUTION: Mary Brinklow

All bylaw changes need to be approved at a general members meeting. One idea  is to put the new by-law changes in the handbook with disclaimer that specific by-laws are to to be approved at the next Annual General Meeting.

STRATEGIC PLAN: Ralph Chown

President’s editorial is to be mailed out to all individuals and put on the web. Ralph is to do final review and send it to the registrar to mail out.

NOMINATIONS: Chris Smith

No Report.

FINANCE: Darlene Brown

The registrar is to pick which one of the two printers he would like, of the two presented to the board, and the difference between the cost of the printer and what was already advanced will be sent to him.

INSURANCE: Claus Koch

Three main insurance problems:

    1. Open water swims are not covered. This will affect the sanctions of the 3k and 4k in Meech lake and the 5K swim in St. Mary’s
    2. The insurance company is requiring that all clubs have a Level 1 NCCP certified coach on deck during practices.
    3. All swimmers in pool must be registered with MSO.
    4. Steps the Board is taking to answer these concerns:
    1. Ann Gunther is to contact the Ontario Association of Triathletes to see who they use to insure their events, which include open water swimming, and to find out whether we can use that insurer for our open water swims.
    2. Geoff Camp is going to talk to his Quebec contact to see if there could be a solution for Meech lake swims run by Technosport and how they deal with pool practice insurance.
    3. Look at insurance for different situations: a. swimmers; b. events
    4. The area representatives will be contacting the club reps in their area to get the answers to the questionnaire about insurance which was sent out last week.
If MSO arranges insurance with a different carrier, there may be an issue with meet officials who are currently insured under the MSO blanket.

Charlie Lane is to phone Technosport and tell them that their open water swims cannot be sanctioned, as they are located outside of Ontario.
 
 

MSC: Geoff Camp

At the Nationals in Calgary May 25 – May 28, 2001 there will be three meetings:

    1. A Director’s meeting on the Friday:
    2. An open meeting for all members to express their views;
    3. The Annual General Meeting of Masters Swimming Canada to carry out the business of the AGM.There are two changes in bylaws, which need to be voted on:
    4.             1. An Appeals policy
    5.             2. A Discipline policy.
 
David Tree has been re-offered membership in MSC and he has declined the offer.
COMMUNICATIONS: Claus Koch Handbook: Schedule: all revisions to Claus before the July 2001 Board of Directors meeting for review at the meeting.

Advertising: If any club or individual wishes to advertise in the 2002 Handbook they may do so but we are not soliciting ads. Ann Gunther will check with Omni Swim to see if they wish to keep an add in the front cover at $300.00
 

MEMBERSHIP: No report.

MARKETING: Ann Gunther

As the issue of whether or not Masters Swimming Ontario would like to get involved in the  Swimming Hall of Fame was brought up at the AGM in December 2000 Ann did some investigating on what other masters groups did.

The Hall of Fame requires each recipient to come up with the fee of $1200 before they can be considered for the Hall of Fame. Swim Ontario says the following re induction costs;

" For your information each affiliate is responsible for identifying their own inductee and for covering induction costs ($1,200 per inductee). Typically this covers the ring, flowers, two dinners and support towards a video production shown that evening." Each affiliate is responsible for identifying the criteria for inclusion, subject to Swim Ontario approval. The criteria for inclusion in the Ontario Swim Hall of Fame established by Swim Ontario and the US Swimming Hall of Fame in Fort Lauderdale established by USMS was reviewed by the MSO Board.

The US swimming side includes masters swimmers in the Hall of Fame, however the emphasis is on the elite athlete. Publicizing role models was raised as a worthwhile reason to participate. Others felt that the hall of Fame would not be a major vehicle for new membership. After much discussion by the Board a consensus was reached that MSO did not want to pursue a spot in the Hall of Fame, as it was not consistent with our stated mandate of Fun, Friendship, Fitness, and Participation.

A reminder to all clubs that they can put forth names to the Board for consideration for the SWIMS Award.

The brochure is under review and will be available for the fall.

Pat Niblett is in the process of sending her updated records, which will includethe provincials.
Barrie has purchased a digital camera so any pictures, which she takes at meets, can be
put on our website quickly. (EVERYONE BEWARE)

FITNESS: No report

COMPETITION: Geoff Camp reported for Charlie Lane

Provincials: There were over 580 registered swimmers. The meet went well from both the swimmers and organizers point of view. The Ontario Officials organization would like to run next year’s Provincial championship and have tentatively requested a date of March 29, 30th & 31st, 2002 to host them at the Etobicoke Olympium.

STATISTICS: Lesley Mason-Ward

The statistician has entered most meets this year and is in the process of sending everything to the webmaster for publishing on the web. Don Clinton, a guest from Nepean, was there to demonstrate his program for tracking swims, records and top ten results to see if his system would be easier for the MSO statistician to use when producing the annual top ten results. See Addendum attached.
