Position Duties

President

  • Chair meetings of the Board.
  • Liaison with Board members on priorities and agenda for meetings.
  • Assist in the approval of meeting agendas and draft minutes.
  • Liaison on financial matters with Treasurer and members.
  • Communication with other Canadian Masters groups, USMS or other relevant organizations on any matters of mutual interest.
  • Coordinate, in conjunction with the Board, MSO response to any short term crisis that may arise. Liaison, when required, regarding any federal or provincial government issues affecting MSO, such as legislative or regulatory changes.
  • Assist the Board to establish annual and longer term priorities to strengthen and expand Masters swimming as an adult sport in Ontario and Canada.

Vice President

Board member (Volunteer)

  • Attend and vote at MSO Board meetings.
  • Preforms the duties of the President in the absence or disability of the President.
  • Chair meetings of the Board when President is unable to attend.
  • Liaison with Board members on priorities and agenda for meetings.
  • Assist in the approval of meeting agendas and draft minutes.
  • Liaison on financial matters with Treasurer and members.
  • Assist in Communication with other Canadian Masters groups, USMS or other relevant organizations on any matters of mutual interest.
  • Assist the President in coordinating, in conjunction with the Board, MSO response to any short term crisis that may arise. Liaison, when required, regarding any federal or provincial government issues affecting MSO, such as legislative or regulatory changes.

Treasurer

Board Member (Volunteer).

  • Attend and vote at MSO Board meetings.
  • Assist in the approval of meeting agendas and draft minutes.
  • The Treasurer works with the MSO Bookkeeper to:
    • Review expense claims and supplier invoices, and issue cheques as required.
    • Manage the organization’s banking relationships and cash flow and invest excess cash balances appropriately.
    • Provide financial updates at Board of Director and Member meetings.
    • Assist the external accountants in their review of the annual financial statements.
    • Draft the annual budget, modify it throughout the year based on Board decisions, and present it at the AGM.

Secretary

Board Member (Volunteer).

  • Attend and vote at MSO Board meetings.
  • Assist in the approval of meeting agendas and draft minutes.
  • Complete the Initial Return/Notice of Change by an Ontario Corporation Form 1 annually or as required by changes to the board membership and submit to the Ministry of Government Services.
  • Keep on file hard and/or soft copies of minutes of all board and AGM meetings.
  • Keep on file copies of the Current Insurance Certificates.
  • Keep on file other documents as requested by the board.

Chair, Competition Workgroup

  • Assist in the approval of meeting agendas and draft minutes.
  • Approve meet dates and sanction them in order to oversee the safety and fairness of said meets.
  • Record the meets, the numbers of swimmers, swims and number of records achieved.
  • Record the key senior officials.

Chair, Marketing & Communications

(Volunteer)

  • Attend and vote at MSO Board meetings.
  • Assist in the approval of meeting agendas and draft minutes.
  • Develop MSO communications strategies
  • Provide strategic input and participate in organization’s advocacy activities.
  • Build awareness within the masters swimming community
  • Expand online presence of MSO
  • Promote new and existing MSO programs/challenges
    • Build an MSO apparel line
    • Seek out long term sponsors/sponsorships
  • Work collaboratively with the MSO Board and volunteers in the promotion and protection of the MSO brand and logo management.
  • Alongside the President, act as media spokesperson for MSO when necessary.

  • Respond to telephone calls. Provide information and direction.
  • Respond to email inquiries. Provide information and suggested links.
  • Pick up mail from MSO PO Box.
  • Update club listings.
  • Process mail registrations.
  • Follow up with problems from registrations.
  • Advise webmaster of club changes.
  • Liaison with Meet Managers regarding mailing lists, confirmed registered swimmers.
  • Liaison with Club contacts.
  • Provide statistical information to MSO Board members as requested.
  • Attended to any other related items that arise.

MSO Statistician – Records

  • Maintain and update Ontario records database.
  • Liaise with Christian Berger (StatsMan.ca), as needed, to maintain Canada-wide masters swimming statistics.
  • Liaise, as needed, to maintain accurate historical masters swimming statistics in Canada.
